# AI consumption

> Track monthly AI usage, set limits per company and per person, and block access when needed.

<Warning>
  **Restricted access.** **Administrators** and **Master** can track consumption. **Changing limits and blocking access** is exclusive to the **Master** profile.
</Warning>

## What it is

Consumption control prevents surprises on the company's AI bill. Each person has a **monthly AI spending limit**. When the limit runs out, the AI stops responding to that person until the next month, or until an administrator raises the limit.

With it you can:

* **Track** how much each person has used this month.
* **Set** the company's default limit and different limits for people who need more (or less).
* **Block** a person's AI access when needed.

## How the limit works

| Rule | How it works |
| - | - |
| **Limit unit** | Amount in **US dollars (US\$)** per month, calculated from the price of each model used. |
| **Default limit** | Every person gets the company's **default monthly limit per user**. If the company has no default set, **US\$ 20.00** applies. |
| **Individual limit** | A person can have their own limit, higher or lower than the default. |
| **Renewal** | Automatic, on the **first day of each month**. Usage resets to zero. |
| **User warning** | From **85%** of the limit, the person sees a warning in chat. |
| **Limit reached** | At **100%**, the AI stops responding to the person. Nothing extra is charged. |
| **Block** | Independent of the limit. A blocked person can't use AI until unblocked, even with remaining balance. |

<Tip>
  **What the person sees:** users track their own usage in **Settings → Usage**, as a **percentage of the limit** and in tokens, without money values. See [Account settings](/en/guia/configuracoes).
</Tip>

<Note>
  Usage is only calculated for models with a **price configured** in **Settings → Models**. Using a model without a price doesn't count toward the limit.
</Note>

## How to access

<Steps>
  <Step title="Open the Admin Panel">
    User menu → **Admin Panel**.
  </Step>

  <Step title="Under Management, click Users" />
</Steps>

## Track everyone's usage

In the **Users** list, the **Usage / Limit** column shows, for each person:

* the **tokens** used this month and, with the view costs permission, the **amount** spent;
* the **percentage** of the limit already used;
* a status label:

| Label | Meaning |
| - | - |
| **Within limit** | Less than 80% of the limit used. |
| **Near limit** | Between 80% and 100%. Worth keeping an eye on. |
| **Limit reached** | 100% or more. The person can't use AI until renewal. |

The top of the list also shows the company's **Total tokens this month** and, with the view costs permission, **Cost this month**.

## Track one person's usage

Click the person's row to open their details. There you see:

* **Monthly usage** — how much of the limit has been used and when it renews.
* **Usage over time** — chart for the chosen period.
* **AI consumption** — the models and agents the person used most.
* **User activity** — the person's conversations and AI runs.

## Set the company's default limit *(Master)*

<Steps>
  <Step title="In the Admin Panel, go to Platform → Companies" />

  <Step title="Open the company and go to the License tab" />

  <Step title="Fill in Default monthly limit per user">
    With a value greater than zero.
  </Step>

  <Step title="Save" />
</Steps>

The new default applies to everyone in the company who **doesn't** have an individual limit.

## Set an individual limit *(Master)*

<Steps>
  <Step title="Open the person's details">
    **Management → Users** → click the row.
  </Step>

  <Step title="On the Monthly usage card, click the gear (Usage controls)" />

  <Step title="In Monthly limit, type the amount in dollars">
    E.g., `50` or `10.50`.

    * To go back to the company default, **clear the value** and leave the field empty.
    * Hover over the info icon next to the field to see the current default.
  </Step>

  <Step title="Click Save" />
</Steps>

<Note>
  A limit of **0** allows no AI use at all. To suspend someone's access, use **blocking** instead: it makes clear to the person that access was suspended by the administration.
</Note>

## Block and unblock AI access *(Master)*

**To block:**

<Steps>
  <Step title="Open the person's details and click the gear on the Monthly usage card" />

  <Step title="Under AI access, click Block usage" />

  <Step title="Confirm">
    The person sees the message **"An administrator has blocked your AI access"** in chat.
  </Step>
</Steps>

**To unblock:** on the person's details, the card shows **Usage blocked**. Click **Unblock**.

Blocking doesn't delete anything: the person's conversations, agents, knowledge bases, and settings stay in place.

## Best practices

* **Set a realistic default** for the company and use individual limits only for exceptions, like people who work with large documents or automated flows.
* **Watch the "Near limit" label** so you can act before someone loses access in the middle of an important task.
* **Check model prices** in **Settings → Models**. Without a price, usage doesn't count toward the limit.
* **Prefer blocking over a zero limit** to suspend someone: the message to the person is clearer.
* **Technical accounts** used in integrations and automated flows may need their own limit.

## Frequently asked questions

<AccordionGroup>
  <Accordion title="A user says the AI stopped responding.">
    Open their details and check **Monthly usage**. If the limit was reached, raise the **Monthly limit** (Master profile) or wait for the renewal on the 1st. If it shows **Usage blocked**, click **Unblock**.
  </Accordion>

  <Accordion title="I raised the limit. When can the person use AI again?">
    Right away. If the limit warning still shows in chat, ask the person to refresh the page.
  </Accordion>

  <Accordion title="I'm an Administrator and I don't see the controls gear.">
    Changing limits and blocking is exclusive to the **Master** profile. Ask the platform manager.
  </Accordion>

  <Accordion title="Why can't I see dollar amounts?">
    Your company doesn't have the **view costs** permission in the Admin Panel. Without it, you see tokens and percentages.
  </Accordion>

  <Accordion title="Does flow usage count toward the limit?">
    Yes. Each agent step in a flow counts toward the usage of the person who ran the flow, just like a chat message.
  </Accordion>

  <Accordion title="Is the limit per rolling month or from the sign-up date?">
    Per calendar month. All limits renew on the first day of each month.
  </Accordion>
</AccordionGroup>

## Known limitations

* The limit is always **monthly** and in **dollars**. There's no daily or token-count limit.
* You can't set "no limit" from the screen: every person has the default limit or an individual limit.
* Changing limits and blocking is exclusive to the **Master** profile.
* Values depend on the **price configured** for each model.
* Users see their own usage as a percentage, never in money.
